FREQUENTLY ASKED QUESTIONS

HOW DO I LOGIN TO COMPLYSAFE?

On the home page of our website there is a button that reads "Login to ComplySAFE". Click this button and you will be taken to the login screen of the ComplySAFE system. Enter the email you used to register with ComplySAFE and then your password. You will then be sent a four-digit PIN code to the mobile phone you used to register with us. Enter this four-digit PIN where requested on the screen and you will be logged in. If you are registered under a number of organisations, you will be asked to select which organisation you want to login to. Otherwise, you will be taken directly to your profile on the ComplySAFE platform.

WHY ARE THERE TWO-STEPS TO LOGIN TO COMPLYSAFE?

The protection of your data is very important to us, and we want to ensure that only you can access your data. For that reason, we will request you to input the email and password you used to register with ComplySAFE, and we will then send a four-digit PIN to the mobile you used to register with us. That way we ensure that only you can access your data on ComplySAFE.

WHAT IF I AM REGISTERED WITH COMPLYSAFE FOR A NUMBER OF ORGANISATIONS?

If you are registered with ComplySAFE for a number of organisations with the same email address, once you have logged into the system you will see a list of organisations that you  have registered with under ComplySAFE, and you can then select which organisation you wish to login for.

WHY DO I NEED TO LOG OUT TO SEE MY COMPLYSAFE PROFILE FOR A DIFFERENT ORGANISATION?

If you are registered with ComplySAFE for a number of organisations with the same email address, you may have different access rights depending on the organisation you are a member of. For example, you may be an ordinary member of one organisation, but the ComplySAFE administrator for a separate organisation. Different roles have different access rights within the ComplySAFE platform which give greater access to data and, in some cases, the personal data of other users. The protection of personal data is of primary importance to us, so if you are logged in as a user for one organisation we will require you to log out before you can access a different organisation to ensure that you can only access data in accordance with the user access rights granted to you.

WHAT ARE THE BENEFITS OF USING COMPLYSAFE?

Keeping track of all of the obligations that apply to your organisation can be very challenging - the requirements change all the time and can even overlap with other areas of law depending on what your activities are. Even if you have identified the obligations that apply, you then need to put a compliance program in place, and this takes up valuable time and energy that could be spent on other activities.  At ComplySAFE, our mission is to make compliance simple. Our system is designed to identify the obligations that apply to your organisation, help you assess any gaps in your organisation's compliance with those obligations, and give you the templates you need to develop policies and procedures to achieve compliance.  We also have specific modules to assist you with Garda vetting, organisation-wide training and document management, making ComplySAFE a complete compliance solution.

HOW DOES COMPLYSAFE HELP ME KEEP TRACK OF MY ORGANISATION'S OBLIGATIONS?

Within the ComplySAFE system we identify the obligations that apply to your organisation depending on its legal structure and activities. We monitor changes in the law, regulation or industry standards that may impact your organisation and update ComplySAFE with details of those changes. We also maintain LinkedIn, Twitter, Youtube and Facebook pages that are frequently updated with briefings and news that may be of interest to you. Where your organisation has taken a license to use ComplySAFE, you will also be able to sign up to receive more in-depth briefings and training on areas of law and regulation that impact your organisation.

HOW SECURE IS MY PERSONAL DATA WITHIN COMPLYSAFE?

At ComplySAFE, the protection of your data is our paramount consideration and every effort has been made in our system design to ensure your data remains secure. Two-factor identification is required for system login to ensure that only appropriately authorised users can access to your data, and if are registered on ComplySAFE for more than one organisation, you must login to each organisation separately to ensure you only access data to the extent you have been authorised by the relevant organisation. ComplySAFE is also protected by third-party firewalls to reduce the risk of a cyber-breach that may compromise your data, and we regularly review firewall reports to ensure there are no unauthorised attempts to access the system. Data protection by design and by default is at the heart of all our operations.

WHY DO I NEED TO SEND A PHYSICAL SIGNED FORM TO MY ORGANISATION IN CONNECTION WITH MY GARDA VETTING APPLICATION?

An application for Garda vetting can only be made by an organisation that it authorised to do so by the National Vetting Bureau (a division of An Garda Síochana). It is a legal requirement that an application for vetting disclosure submitted by such organisations must include a declaration by the applicant that he or she consents to the making of the application and to the disclosure of information by the National Vetting Bureau to the relevant organisation.  This declaration of consent must be in the form prescribed by the National Vetting Bureau, and the current procedures of the National Vetting Bureau provide that this form must be manually completed by the applicant.
